Off-System Requesting workflow
Overview
Track requests between your library and a library or organization that is not using an OCLC resource sharing solution within the WorldShare Interlibrary Loan staff interface. These off-system partners typically use email as their primary form of request communication and do not have access to a protocol-compliant ILL system.
Use the off-system request queues to track all requesting activity within WorldShare Interlibrary Loan.
- As a borrower, manage requesting, receiving, and returning materials from an off-system lender.
- As a lender, manage reviewing, responding, sending, and processing returns from your collection to an off-system borrower.
- Review off-system requests in your library's Borrower/Lender Resources Sharing Stats Report in OCLC Usage Statistics.
Off-System request workflow
- Create the off-system lending or borrowing request.
- Update off-system request details as necessary.
- Change the status of the request as necessary.
- Add updates from the off-system partner using Staff Notes.
- Use the Email button to send emails to the off-system partner and to the library patron if necessary.
- Review the Request History drop-down and Staff Notes tab for information about the request.
- Use OCLC Usage Statistics to track your off-system requests.

Off-system lending requests for groups
For Resource Sharing for Groups and WMS Groups
Library groups can optionally set up an off-system lending request form that is shared by the group.
- Administrative staff at a member library with Tipasa can configure and enable the form.
- The form includes a drop-down list of group lending libraries. By default, all group member libraries are included in the list.
- Off-system partners use the form to select a lending library and submit a request.
- The request is routed to the selected library’s off-system lending queue to be processed much like any other new request.
A member library can remove themselves from being listed as a lending library on the group's form. To remove your library from the list, navigate to the Request Forms module of the WorldShare ILL section of the OCLC Service Configuration. Deselect the option under Participation in Off-System Request Form and select Save Changes. Refer to Request Forms for more information.
The lending library list on the group's off-system lending request form includes group member libraries that have:
- Opted into the group's lending request form.
- Set their supplier status to Yes in the OCLC Policies Directory.

Borrowing libraries will typically only resort to off-system email lenders when they have exhausted their in-system lender strings and have still not filled the request, or because the nature of the material demands that they have to start the request off-system.
