How can I use Last Seen Date for a stocktake or shelving report, when the Inventory option is not being used?

You will need to have Report Designer (the Report Launch Pad) to create this report. You will start by creating a NEW report using the Report Launch Pad. This report will allow you to see the last date an item was issued and you can then filter the report to get a certain time frame you may require. 

This type of report is very useful, if wanting a report to use for stocktaking or weeding purposes, if you haven't used the Inventory option.

Steps:

  1. Open Report Launch Pad.
  2. Select Application > Web Intelligence. 
  3. Select New  > Universe > Circulation item Status > Ok.
  4. Open the yellow Item folder > select  Item OCLC number > drag across and drop into the Result Object box. 
  5. Select  Item Title > drag across and drop into the Result Object box. 
  6. Select  Item Barcode > drag across and drop into the Result Object box. 
  7. Open the yellow Dates/Time  folder > select  Item OCLC number > drag across and drop into the Result Object box. 
  8. Select  Item Last Issued Date folder >  select the Item Last Issued Date  > drag across and drop into the Result Object box. 
  9. Open the yellow Item Last seen Date  folder > select  Item Last seen Date > drag across and drop into the Result Object box. 
  10. Open the yellow Item Status Detail folder > select  Item Status Current Status  drag across and drop into the Result Object box. 
  11. Open the yellow Measures folder > select  Item Issue Count  drag across and drop into the Result Object box.
  12. And also > select  Item Soft Issue Count  drag across and drop into the Result Object box. 
  13. Now you need to add a Query filter > Open the yellow Item Last seen Date  folder > select  Item Last seen Date > drag across and drop into the Query Filter section.
  14. Set the time frame you want to report on.
  15. Select Refresh to see a preview of this report that will be returned.
  16. Make and adjustments required > when satisfied select  Run Query.
  17. Save As with a name that reminds you what it reports on and save to your institutions folder.
  18. Report can be exported into Excel or PDF if required.
