WorldShare Circulation release notes, September 2025

Introduction

This release of WorldShare Circulation provides new features and enhancements in addition to numerous bug fixes. These features will help you manage more complex workflows, including:

  • New features:
    • All Loan Notifications are now available in Next-Generation Notifications. This month's additions include both policy-driven and manual/ad hoc triggers for the following notifications:
      • Checkout Due Date Confirmation
      • Due Date Change Confirmation
      • Loan Returned Confirmation
    • Renewal window customization allows institutions to set periods both before and after an item's due date when renewals are allowed.
  • Bug fixes:
    • WorldShare Circulation fixed bugs in loan and item management, user interfaces, and ZFL billing.

Many of these enhancements are the direct result of your feedback.

Recommended actions

For this release, we recommend that you review the following checklists and complete the relevant tasks so that you can adjust your policies and workflows and train your staff. These checklists identify updates that we have determined as significant for most institutions. We encourage you to review all of the items in the release notes to determine whether there are other items that might require additional action or follow up by your institution.

Retirement:  WMS Collection Management API  (1 April 2026)

The WMS Collection Management API will sunset on 1 April 2026. Please review the Collection Management API transition resources to learn how to migrate to the Metadata API, which is much more modern, flexible, and robust.

We acknowledge that a common use case for the WMS Collection Management API has been a spine label printing solution. This feature is available via the Label Print Lists functionality within Record ManagerWMS Circulation, or WMS Acquisitions.

Action

Group aware libraries: Ensure consistent patron experience by enabling NGNs at the same time

For group aware libraries, enable Next-Generation Notifications (NGNs) concurrently across all member institutions to ensure a consistent patron experience. When any member library enables a single NGN, its legacy notification will be disabled, so coordinate a single rollout window across the consortium to avoid mixed notification experiences for patrons who borrow from multiple libraries

New features and enhancements

All Loan Notifications now available in Next Generation Notifications

With this release, the complete set of Loan Notifications is now available using Next Generation Notifications. The following notifications are now available for you to configure:

  • Checkout Due Date Confirmation: Confirms an item's due date when a checkout occurs

  • Due Date Change Confirmation: Confirms an item's new due date when it is changed (e.g., when an item is renewed)

  • Loan Returned Confirmation: Confirms when a loan is successfully returned and any relevant details

The system intelligently selects between Checkout Due Date Confirmation and Due Date Change Confirmation when triggering notifications manually or printing slips, based on whether the due date has changed.

Flexible delivery options

These notifications can be sent automatically based on patron type policy or triggered manually by staff. 

Manual triggers support multiple delivery methods: email, network printing, and POS (point-of-sale) slip printing. For example, a circulation librarian can print a confirmation slip at checkout to hand directly to a patron. 

Notifications sent automatically via loan policies can also be resent through patron history (if enabled), allowing staff to easily reproduce past notifications.

Configuring and enabling loan notifications

  • Configure email/network printing templates in Service Config > Next-Generation Notifications > Templates Loans

     Visit Templates, Loans for additional information and workflows.

  • Configure POS templates in Service Config > Next-Generation Notifications > Templates > Point of sale (POS) printing. Note: POS printing can be enabled or disabled independently from automatic notifications.

  • Enable notifications in Service Config > Next-Generation Notifications > Enable Notification Types

Renewal window customization

This feature provides institutions with more granular control over when patrons can renew items, allowing for more flexible loan management policies. 

  • Institutions can set periods both before and after an item's due date when renewals are allowed, offering patrons flexibility for early or late renewals

  • Renewals outside the configured period require staff override 

To modify renewal windows:

  1. Navigate to a loan policy at Service Config > Loans > Loan Policy

  2. Scroll to Renewal settings

Time periods can be specified in minutes, hours, days, weeks, or months. Default behavior when not configured maintains current renewal functionality.

Loan and item management improvements 

  • Temporary item searches are now more complete

User interface and usability enhancements 

  • Network print previews render web links correctly in Next-Generation Notifications

  • Deleting a Series Schedule from Next-Generation Notifications no longer removes the entire notification; only the intended schedule is deleted. 

  • Membership policies no longer allow a membership period greater than the system can handle

ZFL

  • Improvements to ZFL billing, fee processing, and receipt printing
