WorldShare Circulation release notes, August 2025

Introduction
This release of WorldShare Circulation provides new features and enhancements in addition to numerous bug fixes. These features will help you manage more complex workflows, including:
- Automatically Withdraw Temporary Items for Interlibrary Loan
- Digby 3.5 Release
- Next-Generation Notifications: Notification History Enhancements
- Bug Fixes
These enhancements are the direct result of your feedback on the Community Center, particularly in our Digby open beta.
Recommended actions
For this release, we recommend that you review the following checklists and complete the relevant tasks so that you can adjust your policies and workflows and train your staff. These checklists identify updates that we have determined as significant for most institutions. We encourage you to review all of the items in the release notes to determine whether there are other items that might require additional action or follow up by your institution.
Help documentation for Next-Generation Notifications
We have started to roll out groups of new notifications and this will continue for the next several months. To help you and your staff get to know the advantages of these communication tools and how to use them, we have put together several resources in the NGN section (sign-in required) of the WMS Circulation Community Center site. We will continue to update these resources as new notifications are released. These resources serve as a supplement to the updated information on Next-Generation Notifications in WorldShare Circulation help documentation.

Retirement: WMS Collection Management API (1 April 2026) The WMS Collection Management API will be sunset 1 April 2026. Please review the Collection Management API transition resources to learn how to migrate to the Metadata API, which is much more modern, flexible, and robust. We acknowledge that a common use case for the WMS Collection Management API has been a spine label printing solution. This feature is available via the Label Print Lists functionality within Record Manager, WMS Circulation or WMS Acquisitions. New features and enhancements
Automatically Withdraw Temporary Items for Interlibrary Loan
This new feature streamlines Circulation data by automatically withdrawing temporary items created for interlibrary loan (ILL) services when specific actions are performed.
Key Features

Automatic Withdrawal on Check-In
- Once toggled in Service Config, temporary items linked to ILL requests are automatically withdrawn when checked in.

Automatic Withdrawal on Hold Deletion
- Once toggled in Service Config, temporary items are withdrawn when their associated hold is deleted, ensuring clean-up of temporary records.
Configuration
- Institutions can enable this feature via Service Config > WMS Circulation > Integrations > ILL Settings

- The feature is off by default and must be toggled on.
- Note: If you are using more than on ILL provider, you must enable this feature for each provider individually.
Availability
- This functionality is available for all ILL services integrated with WMS, including Tipasa, WorldShare ILL, SHARES, Relais D2D, RapidILL, and ZFL.
Digby 3.5 Release: Combined Read Shelf + Inventory Mode
Digby 3.5 introduces a new feature set that allows you to perform shelf reading and inventorying simultaneously, saving libraries valuable time. We also improved the reliability of the camera barcode scanning feature. Thank you to all beta participants for your valuable feedback!
Read Shelf + Inventory Mode
Streamlines library workflows by automatically updating the item's Last Inventoried date and Inventoried Count in WMS when confirming an item's location.
"Missing - Check Status" Option
- Select (!) and choose Missing - Check Status to check an item's availability and view its status directly on the screen.
- Availability check results are logged in the .xlsx output of your shelf reading session
"Accidentally Inventoried" Option
- Flag items you accidentally inventoried via the (!) menu.
- Please note: Items cannot be "un-inventoried" - this just allows you to document items you accidentally inventoried. Inventory carefully!

Next-Generation Notifications: Notification History Enhancements
With the new Notification History features, staff can view details of previously sent notifications and take actions to either resend or print individual notifications.
Note: In order to use these features, a Staff Administrative user must make the following changes in Service Configuration
- Navigate to Admin/General
- Select History.
- Enable Resend Notifications.

Note: You must first enable Notification History before you are able to enable Resend Notifications.
View Notification History
To view the Print History of notifications, navigate to the Notification History screen from the patron or item pages within the Staff UI.
Print a Notification
To print a notification:
- Select the Actions dropdown next to your desired notification.

- Select Network print. A preview screen will appear, allowing you to review the subject line, timestamp, and full message content.
- Select Print.
Resend a Notification
To resend a notification:
- Select the Actions dropdown next to your desired notification.
- Select your desired Channel (e.g. Email). A preview screen will appear, allowing you to review the subject line, recipient, reply-to address, and message content.

- Select Send.
- You may choose to change the recipient (e.g. to an alternative email) and reply-to address before sending.
Upon resend, a new notification will appear in the Notification History and will be identified as a "Resend". The original notification will also display a message showing the last time it was resent.

Bug fixes
WorldShare Circulation
- Fixed an issue where the "ILL Ship" receipt was sometimes incorrectly grayed out in the Notifications & Receipts list.
- Fixed an issue in group settings that caused duplicate or missing loan notifications in mixed NGN/legacy environments.
- Made several usability improvements to the NGN template editor, notification schedule, and patron panel.
Digby
- Improved barcode scanning service for better responsiveness on certain devices.

Post-release sessions
To help you become familiar with the new features, enhancements, and improvements included in our releases, WMS Circulation has planned quarterly office hours. The first session was on 5 June 2025 and the next one is scheduled for 11 September 2025. You can register through the Community Center. Please note the session time zones when registering. The sessions will be recorded and archived for future viewing on the OCLC Community Center. Please register, even if you cannot attend, to receive a link to the recorded session.
