Loan Overdue Notice

Create this notification template to inform patrons about items that have become overdue.

Use this notification to inform patrons about items that have become overdue. This notification is emailed after loans become overdue based on the schedule specified by library staff.  This schedule can optionally include a repeating reminder notification which will be sent periodically while the loan remains overdue.  The template for this notification is assigned by Loan Policy in OCLC Service Configuration.  Refer to Loan Policy for information about setting the schedule for this notification. 

  • Once you have created the Loan Overdue Notice template, assign this template to a Loan Policy to enable the template to be automatically sent based on the schedule specified in the policy.
  • If changes are made to a policy, you can manually reschedule the notification at the policy level. Refer to Reschedule a notification for more information. 

Create the Loan Overdue Notice template

To create the template:

  1. From the Loans templates screen, select Loan Overdue Notice from the Create template drop-down.
  2. Enter the following settings:

    Name

    Enter a name for the template.

    • The name must be unique per institution.
    • 50 character limit. 

    Subject

    Enter a subject line for email notifications.

    • 255 character limit. 

    Logo (Optional)

    Select a logo image to include. Available logos are configured on the Manage logo images screen. 

  3. Click Save.
  4. Optional. Enter a Header and/or a Footer for your notification. Click Edit underneath each section to be edited.
    • 50,000 character limit for each. 
    • To add a web link to the Header or Footer, enter ${ and type the Name of the desired web link as configured in the Manage web links screen into a text block. Select the web link based on the name configured.
    • To add a Patron Type Message to the Header or Footer, enter ${Patron Type Message into a text block. Once the template is assigned to the Notification section of the Loan Policy, the template will include the patron type message when the notification is sent to that patron type. If there are multiple Patron type messages assigned to a particular patron type, each message will be included in the Header or Footer.
    • To add additional data fields, use the ${Data Field form to enter the desired information. Example: ${Item Barcode
  5. Click Save.
  6. Add Loan Details. 
    1. Determine how to organize the loan details. Options include:
      • Title
      • Checkout Date/Time
      • Due Date/Time
    2. Choose how to format the block details. Options include:
      • Simple List: Aligned list of data objects in the order specified by the template.
      • Simple Table: Table of data objects in the order specified by the template.
    3. Enter the desired Data fields to include in the template. 
      • Each block has different Data fields available for selection. Refer to  Manage field labels for a description of the available fields.
      • Available data fields:
        • Author
        • Edition
        • Language of Material
        • Material Format
        • OCLC Number
        • Publication Year
        • Publisher
        • Title
        • Title (20)
        • Item barcode
        • Item Call Number
        • Item Description
        • Item Enumeration and Chronology
        • Item Holding Institution
        • Item Holding Location
        • Automatic Renewal Indicator
        • Checkout Date/Time
        • Due Date/Time
        • Estimated Overdue Bill Amount
        • Long Overdue Date/Time
        • Loan Proxy Indicator
        • Renewal Count
    4. Drag the data fields up and down to change the order in which they appear. 
    5. Click Save.

Once you have created the Loan Overdue Notice template, assign this template to a Loan Policy to enable the template to be automatically sent based on the schedule specified in the policy.

Once you have created a Loan Overdue Notice in the Loans section of the Next-Generation Notifications module, complete the below settings:

  • First choice reply-to address: Select the reply to address to use for the notification. Options include:
  • Second choice reply-to-address: Select the second choice for reply-to address. Only appears if Use the address configured by patron type is selected for the First choice reply-to address. 
  • Proxy borrowing: Determine how to send notifications when an item is checked out by a proxy account. Options include:
    • Send to primary patron only
    • Send to proxy patron only
    • Send to primary and proxy patrons
  • Use open hours to calculate overdue notices?
  • Series Schedule: Determine on which schedule to send the notification after the due date occurs. 
    • Select the timeframe after the due date for which to send the notification. Options include:
      • Minutes
      • Hours
      • Days
      • Weeks
      • Months
    • Select the Time to send the notification. Options include:
      • At the due time
      • At opening time
      • At closing time
      • At a specific time. An additional box appears to enter the specified time upon selection.
    • Select the Notification Template. Use the drop-down to select the desired Loan Overdue Notice template. Refer to Loan Overdue Notice for more information. 
  • Repeat last notice? 
    • Determine whether to resend the notification on a scheduled basis. Options include:
      • Never 
      • Daily
      • Weekly
      • Monthly

Enable the Loan Overdue Notice template

Enable the template on the Enable notifications type screen. Once enabled, the Loan Overdue Reminder - After the loan due date legacy notification will be disabled.

 Caution: Do not toggle the Enable notifications section to On for the above notification until you have completed all the required fields in the template.

Add a translation for WMS Groups

The default language for the group will appear as the first tab when creating or editing a Loan Overdue Notice template. Additional language tabs will appear at the top of the screen.

The Name of the template will carry over into each subsequent language. A translation should be added for the following fields:

  • Subject
  • Logo
  • Header
  • Footer

The settings in the Loan Details section of the template are carried over from the default language. If Data fields are entered, the translated data field appears in the subsequent languages. If a custom data field name is selected, the custom translation will also be used. Refer to Manage Field Labels for more information.
