Inventory items
Learn how to use Digby to inventory items in your collection.
Digby's inventory functionality can be used to scan and inventory items directly in the stacks.
To begin inventorying items:
- Tap Inventory Items on the Digby home screen.
- To scan an item, hold your mobile device over the item's barcode so that the barcode appears in the camera window at the top of the screen.
- If better lighting is needed in order to scan the barcode, tap the lightbulb icon to the right of the Type or scan barcode field at the top of the screen to turn on your device's flashlight. Tap the icon again to turn the flashlight off.
- To manually enter a barcode instead, tap the Type or scan barcode field at the top of the screen. Your mobile device's keyboard will launch, and the barcode can be typed in.
- If you will only be entering barcodes manually, the camera window can be deactivated by tapping the camera icon located to the right of the Type or scan barcode field. Tap the icon again to re-enable barcode scanning.
- If the item is successfully scanned, a green banner will display near the top of the screen indicating that the item was marked as inventoried.
- The item will now appear in the scanned items list. The following information about the item will also display:
- Title
- Call number
- Ort
- Barcode
- If an item is scanned that is not found in the Circulation database, a red banner near the top of the screen will display the message "Failed to inventory. Item not found." Tap the x on a banner to clear the message. The scanned item will appear in the scanned items list on the lower part of the page, but only the barcode and an alert to return the item to the desk will display.
- Items with a status of Missing, Claimed Returned, Claimed Never Had, or Lost that are scanned will display a Return to desk pop-up alert informing the user of the item's status. Tap OK to dismiss the pop-up and continue scanning.
- If an item fills a hold request, a pop-up will display that alerts the user to the hold and the location the hold should be directed to. Tap OK to dismiss the pop-up.
- Continue scanning until all items that will be inventoried have been scanned. As items are scanned, the inventoried item count below the camera window will update.
- To share a list of items inventoried, tap Share under the camera window. An Excel file will be generated, and users can select the mobile app they wish to send the file with (ex. an email app).
- Once you have completed scanning items, tap Remove all items to clear the list. Items cannot be retrieved once they have been removed from the list, but the last item inventoried will remain to remind the user where they left off.
Note: If a user changes locations/branches the inventory list will be cleared from the device. If a user attempts to change locations/branches while an inventory is in progress, a warning pop-up will appear, and users can either tap Continue to proceed with switching locations/branches or tap Cancel to retain the current branch's inventory list.
