Assess automations

Learn how to access and use the Borrower Resource Sharing and Lender Resource Sharing Stats Reports to track your library's use of automation in WorldShare ILL.

Access the reports in the OCLC Usage Statistics 

  1. Sign in to the OCLC Usage Statistics portal with your 9-digit ILL authorization and password.  The Usage Statistics are also accessible from the Quick Links section in the staff interface.  
  2. Select OCLC WorldShare Interlibrary Loan from the left-side menu.
  3. To track the use of automation in borrowing, select the Borrower Resource Sharing Stats Report.
  4. To track the use of automation in lending, select the Lender Resource Sharing Stats Report.

Borrower Resource Sharing Stats Report 

The Borrower Resource Sharing Stats Report contains one month of data at a time. It includes the following information about each borrowing request the library submitted to lenders or that had an action taken on it during the time period:

  • Bibliographic data
  • Dates
  • Lender data
  • How the request was created
  • Charges
  • Basic patron data
  • Automation data

Export this report to Excel and filter requests based on how automation acted on them. The sections of the report that contain automation-related data are the Direct Request: Unmediated and Direct Request: Mediated columns.

  • To view how many or which requests were sent directly to lenders by borrowing information, filter the Direct Request: Unmediated column to Y
  • To view how many or which requests had automation act on them but were not sent to lenders, filter the Direct Request: Mediated column to Y.  
    • Requests with an N value in both the Direct Request: Unmediated and Direct Request: Mediated columns indicate requests that were handled completely manually from start to finish.
  • To use the report to look at copies and loans, filter the Pages (Citation) field to non-blank values. 
    • Requests with data in the Pages (Citation) field will represent copy requests. 
    • Requests with blank values in the Pages (Citation) field field represent loan requests.  
  • To avoid looking at canceled or unfilled requests, filter by the Lender Filled Date column. 
    • Requests without a value have not yet been filled. 
    • To avoid looking at requests that may have been submitted during a previous month, filter by the Request This Month column. 
    • Requests with a value of 1 were submitted during the month of the report. 
    • Requests with a value of 0 in that column were submitted during a previous month. These requests still appear on this report if an action was taken on them during the month.

 Note: Even if the library does not have any automations configured in the Automated Request Manager, there may still be requests with a Y value in the Direct Request: Mediated column.  Requests submitted via WorldCat Discovery, FirstSearch, and the Tipasa patron interface all have bibliographic matching performed on them when submitted by library users.  This happens as long as the request includes at least one of an:  ISSN, OCLC Number, or ISBN when the library user submits it.

Lender Resource Sharing Stats Report 

The Lender Resource Sharing Stats Report contains one month of data at a time. It includes the following information about each lending request the library filled during the time period:

  • Bibliographic data
  • Dates
  • Borrowing library data
  • Charges
  • Automation data

Export this report to Excel and filter requests based on whether or not lending automation acted on them.  The relevant column with this information is the Lender Automation column.  

  • Filter the Lender Automation column to requests with a value of Y to see the requests which had lending automation acted upon them as set up in the Automated Request Manager.
    • To further filter by copies and loans, use the Photocopy Flag column. 
      • A value of 1 in the Photocopy Flag column indicates a copy request. 
      • A value of 0 in that column indicates a loan request. 
    • To avoid looking at requests received in a previous month,  filter by the Received This Month column. 
      • Requests with a value of 1 were received during the month of the report. 
      • Requests with a value of 0 in this column were received in a previous month. 
      • Requests received in a previous month may appear on your report if an action was taken on them during the month of the report.
