Manage vocabularies

Learn how to manage vocabularies in CONTENTdm (new version).

Vocabularies are listed alphabetically by Vocabulary name.

  • Source indicates whether the vocabulary is Managed (updated by OCLC) or is a Custom vocabulary created by your institution.
  • The Total terms will list how many terms are included in the vocabulary.
  • Last modified column will show when the vocabulary was last updated. 

Managed vocabularies

Below are the default vocabularies available in CONTENTdm (new version).

 Note:  These vocabularies cannot be edited or deleted. 

Search within a vocabulary

From the Vocabulary screen, use the Search vocabulary terms box to retrieve specific terms. 

Edit a vocabulary

Select the Pencil icon CONTENTdm_pencil_icon.pngunder the Actions column in the row for the vocabulary to be edited. Or you can click the Vocabulary name, then click Edit on the property screen.

From the edit screen, edit the Vocabulary name by clicking the Pencil icon CONTENTdm_pencil_icon.png. Once you have edited the name to your specifications, click the checkmark CONTENTdm_checkmark.pngto save the new name. 

 Note: Managed vocabularies cannot be edited or deleted. Only custom vocabularies are available to edit or delete. 

Edit manually

  1. Select the Edit manually tab.
  2. Use the Search vocabulary terms box to search for vocabulary terms already in your controlled vocabulary.
    1. To edit the term, click the  Pencil icon CONTENTdm_pencil_icon.png. Edut the vocabulary term as desired and click the checkmark CONTENTdm_checkmark_white.png
    2. To delete the term, click the trash can icon CONTENTdm_trash_can_icon.png. Click Delete to confirm removal. 
  3. Use the Add terms button to include additional terms in the controlled vocabulary. 
    1. Enter each custom vocabulary term into the Vocabulary terms text box, one per line. 
    2. Click Add terms when finished. 

Upload file

 Caution: Uploading a vocabulary file will replace the entire vocabulary. 

  1. Select the Upload file tab.
  2. Select Download file to download your current vocabulary.
  3. Select Upload file to upload a new vocabulary and replace the existing one.
    • The file must be a text file (.txt) with a single term per line.

Delete a vocabulary

  1. Select the trash can icon CONTENTdm_trash_can_icon.pngunder the Actions column in the row for the vocabulary to be deleted. Or click on the Vocabulary name and then click Delete
  2. A confirmation screen will appear, alerting you to the number of terms currently in the property.
  3. Click Delete to confirm deletion or Go back to retain the property.
