Issue from stockitem file

Learn about loaning items from a stockitem file in Amlib.

Loaning files

Create the File

Items need to be saved into a File. To do this you can:

  • Search and save items into a File
  • Wand items into a file
  1. Launch the Amlib client
  2. Open the Stockitem module
  3. Search to find the items
  4. From the File menu select Save to File
  5. Select F1 New for a new File
  6. Type in the File name and F3 Save
  7. Use this new File to save the contents with F9 Select

Loaning the items

  1. Launch the Amlib client
  2. Open the Circulation - Issues module
  3. Identify the Borrower
  4. From the File menu select Save to File
  5. From the Borrower Menu select Borrower Issue from File
  6. Select the File with F9 Select
  7. A message will display when all items from the File have been issued.
  8. When the file is loaned, all items in the file display on the Issue screen
  9. Each item is given a Memo showing the file and the borrower.

Returning from File

If the items were loan out From a File they should be Returned from a File so that all the Memos get deleted correctly.

  1. Launch the Amlib client
  2. Open the Circulation - Returns module (can be Chute or normal Returns)
  3. Go to the Borrower Menu
  4. Select Borrower ReturnFromFile
  5. Highlight the File and press F9 Select
  6. All items are returned from the Borrower. The items are still attached to the file. The Memos assigned to the items are also deleted when returned.

Memos

The Memo Type settings can be checked in Supervisor, LibraryMenu, Memo Types will determine if and how a Memo is created for items issued from a File, to alert the Operator that the issued was performed.

If Valid for Holdings has a Y, then a Memo is created, with the Show Settings (Y or N) dependent on how these are set. If the “Expire in n days’ is 0 then the usual number of days for Memo expiry is used.

Memo does not display when the Return Items from File menu is chosen and are deleted on Return. However the Memos DO display when an item is returned individually and you will need to delete the Memo individually

If created, the Memo displays the File Number and the Borrower Barcode.

Note: A Where search can be performed to find those items with the Memo Type of FILEISSUE
