WEBVTT 1 "Sarah Robledo" (702562560) 00:00:04.859 --> 00:00:24.859 Okay. Hello everyone and welcome. I'm Sarah Bletto from the OCLC member education team. I'm so excited to be here with you today. Welcome to the introduction to World Share ILL prepare and plan course. I am joined today by my colleague Lucia Shelton, a senior trainer who will be here throughout. 2 "Sarah Robledo" (702562560) 00:00:24.859 --> 00:00:33.990 Help answer any questions. So feel free to drop questions in the chat at any time. We'll keep an eye on them and make sure they're addressed. 3 "Sarah Robledo" (702562560) 00:00:33.990 --> 00:00:51.450 This session is part of a two course introduction series for Worldchair ILL. The 1st course gets started covers the basics, like logging in for the 1st time, navigating the interface, and creating staff accounts. 4 "Sarah Robledo" (702562560) 00:00:51.450 --> 00:01:10.440 Today's course is prepare and plan, which builds on that foundation. You can register for either course individually or both at the same time. And recordings are available afterwards. If you register through the community center events page, you're automatically set to receive a training badge after the session. 5 "Sarah Robledo" (702562560) 00:01:10.440 --> 00:01:30.440 If you didn't register that way or if you're watching the recording, you can still receive the badge by completing the form at the URL on the screen. Lucia will also paste that link into the chat. When you open the URL, you'll be prompted to sign into oclc's community center using your OCLC symbol or your library's name along with your work. 6 "Sarah Robledo" (702562560) 00:01:30.440 --> 00:01:36.060 We'll share account credentials. 7 "Sarah Robledo" (702562560) 00:01:36.060 --> 00:01:53.940 So here's what we'll cover today. Four topics designed to improve your experience and speed up your ILL process. By the end, you'll know the basic configuration steps to set up ILL for your library, such as how to update your oclc's policies directory page. 8 "Sarah Robledo" (702562560) 00:01:53.940 --> 00:02:10.650 The service configuration options you'll want to prepare, how to pre select preferred libraries as a borrower or a lender, and how to set up automation for parts of the World Share ILL workflow. 9 "Sarah Robledo" (702562560) 00:02:10.650 --> 00:02:29.400 We'll also highlight where to find documentation, short tutorial videos, and how to contact OCLC support. Before we dive in, let's learn a few key terms you'll hear today. So the 1st one's borrowing library. This is the library requesting the items. 10 "Sarah Robledo" (702562560) 00:02:29.400 --> 00:02:48.480 The lending library is the library of supplying the items. A lender string is a list of prospective lenders for a request. Alone is the physical item like a book or DVD that must be returned. 11 "Sarah Robledo" (702562560) 00:02:48.480 --> 00:03:07.290 A copy is a reproduction like an article PDF or a chapter. A CLC supplier indicates whether your library lends in the system. Days to respond is how long a request stays with the lender. 12 "Sarah Robledo" (702562560) 00:03:07.290 --> 00:03:27.290 Deflection are rules that allow the system to respond NO on behalf of your institution. OCLC groups are groups configured by OCLC on behalf of libraries, example consortiums, and then fulfillment is when the item was successfully supplied by the lender. And I see that Lucia already is. 13 "Sarah Robledo" (702562560) 00:03:27.290 --> 00:03:31.200 On top of it, she sent you guys the link to the glossary as well there. 14 "Sarah Robledo" (702562560) 00:03:31.200 --> 00:03:50.880 In the chat So why is it important to prepare and plan for World Share ILL? Because configurations you set now save time later, they reduce errors, speed up processing, and help when issues arrive. 15 "Sarah Robledo" (702562560) 00:03:50.880 --> 00:04:10.880 Arise, you'll need an admin role in your account to update your libraries oclcs policies directory and set up configurations and service config. So a lot of what you'll see today I'm able to access because the account that I'm using has an admin permission. Some of you might not have that, but it is good to see and know how it all works and. 16 "Sarah Robledo" (702562560) 00:04:10.880 --> 00:04:11.580 How. 17 "Sarah Robledo" (702562560) 00:04:11.580 --> 00:04:31.580 Different staff members can figure things for your library. If your library is part of the resource sharing for groups, oclc's implementation team configures automation and requestability for in group requests. If you also handle requests outside your group, you'll want to prepare for those as well by updating your policies directory page. 18 "Sarah Robledo" (702562560) 00:04:31.580 --> 00:04:51.419 So the 1st thing we're gonna look at is our policies directory, not how we can update it. And to access your policies directory, you're gonna go to your inner library alone homepage, and we're gonna go under the quick links and look under other, and that very 1st link is our OCLC policies directory. So I'm gonna go ahead. 19 "Sarah Robledo" (702562560) 00:04:51.419 --> 00:05:11.419 And pause for 1 s and get up, my instance so we can see this live. One moment here. Let me pull this up. 20 "Sarah Robledo" (702562560) 00:05:11.419 --> 00:05:17.579 Alright, so you should all all be seeing my instance. 21 "Sarah Robledo" (702562560) 00:05:17.579 --> 00:05:36.929 Of World Share ILL. And again, we're gonna go to the homepage and then under quick links, we're just gonna click this 1st link for oclc's policies directory, and it is going to log me in because my role has admin permissions, so I am able to log in and access the policies directory. 22 "Sarah Robledo" (702562560) 00:05:36.929 --> 00:05:54.479 When the policies directory opens, it opens on the profile tab. This is your library's general landing profile, and the most important thing on this screen is the OCLC supplier that we see right here. If we click edit, you'll see that you can toggle the OCLC supplier. 23 "Sarah Robledo" (702562560) 00:05:54.479 --> 00:06:12.119 Either yes or NO, click NO if you do not want to receive lending requests and set to yes if you do want to lend materials. You can also add non circulating notes here, and then underneath that is your days to respond. 24 "Sarah Robledo" (702562560) 00:06:12.119 --> 00:06:31.949 So this is how long you have, and to respond to a request. The default is four days for each, but you can choose anywhere from one to 20 days, weekends, and US national holidays are not counted and they don't have to be the same. So if you want. 25 "Sarah Robledo" (702562560) 00:06:31.949 --> 00:06:47.339 A small, a shorter amount of time for copies. You can select two days and if you want eight days for loans, you can do that. Once you've made your choices, go ahead and click save, and that will update your. 26 "Sarah Robledo" (702562560) 00:06:47.339 --> 00:07:03.749 Lending profile. If at any point you want to make any changes you can, you would just click edit. We can revert this back to four days, click save, and it's updated that quickly. A lot of libraries. 27 "Sarah Robledo" (702562560) 00:07:03.749 --> 00:07:23.339 Are closed for holidays or construction or just like anything that might keep the institution close for a little while. You don't have to turn off your OCLC supplier status during that time here. You can actually schedule a closure. So to do that, we're gonna go up to this profiles tab, and we're gonna go over to schedule. 28 "Sarah Robledo" (702562560) 00:07:23.339 --> 00:07:43.339 And then under closures, we are gonna click add, and then you can give it a name. So let's say it's almost the end of the year, let's say summer break, you're closed. So we can put summer break in here, you have to choose the type of closure. I'm just gonna say we're closed for that, and then we'll click into the start date. 29 "Sarah Robledo" (702562560) 00:07:43.339 --> 00:07:45.239 And a calendar rule up here? 30 "Sarah Robledo" (702562560) 00:07:45.239 --> 00:08:05.239 And you can choose the starting date for this closure, so let's say the 25th and then let's say we're closed until 8 June. So that means during from 25 May to 8 June, we are closed. And so you have to determine during that time, do you still want to be an OCLC supplier? Yes or NO? 31 "Sarah Robledo" (702562560) 00:08:05.239 --> 00:08:09.299 We're gonna say NO because our library's closed when the summer break. 32 "Sarah Robledo" (702562560) 00:08:09.299 --> 00:08:25.499 And then we can make a note that says close for a second break, and then click save. And you've created a new closure. If at any time you want to change this, you can, you can edit it if you get the dates wrong. 33 "Sarah Robledo" (702562560) 00:08:25.499 --> 00:08:44.429 You can delete it if you want to, but during this time your library will not receive lending requests because you temporarily set your OCLC supplier status to NO. Another option on the schedule tab that is not required but is encouraged is this operating hours area. 34 "Sarah Robledo" (702562560) 00:08:44.429 --> 00:09:00.449 If you click add, you can supply other institutions your operating hours so they can know when to contact you, if they're working with you on in their library alone. So you would just give it a name, you can say like Monday through Friday. 35 "Sarah Robledo" (702562560) 00:09:00.449 --> 00:09:19.499 I have gotten the question in the past. What do we do? Cause you have to choose a start date and an end day so we could do Monday through Friday, but somebody asked what do you do if you have one day with weird hours? Because a lot of people just have weird hours on Sunday. You would just choose Sunday for the start day and for the end day in that case. 36 "Sarah Robledo" (702562560) 00:09:19.499 --> 00:09:39.299 And then you would choose the hours that you're open, any notes that you need and then you would click save. And then it will look like this. And again, it's just really helpful for other institutions you might be working with to know when the best time to contact you is. So it's not required but is helpful. 37 "Sarah Robledo" (702562560) 00:09:39.299 --> 00:09:59.299 Another thing that's not required but is helpful is to go to the contacts page or a tab and add a contact to your contacts page so that at least if there's any questions, they can contact somebody about the problems that they have, that they have with their internal library alone. You can have as many as you want. 38 "Sarah Robledo" (702562560) 00:09:59.299 --> 00:10:08.969 Here, we do recommend at least a general contact and it's very simple, just like before, we're gonna click add. You're gonna choose the type. 39 "Sarah Robledo" (702562560) 00:10:08.969 --> 00:10:28.649 And you're just gonna fill this out as accurately as possible since that's what people will be using to contact you if any issues arise. And then you would just click save. And again, you don't have to have a contact for everything, but we do strongly suggest a general one at least. 40 "Sarah Robledo" (702562560) 00:10:28.649 --> 00:10:48.649 Okay, the next tab we're gonna look at is the collections tab, and this is for collections with special rules. So these are like your special unique collections. So in this instance, we have a hardi Boy's complete 1st edition. Those are valuable. 41 "Sarah Robledo" (702562560) 00:10:48.649 --> 00:10:53.699 Those are special. We created a special collection here for it. 42 "Sarah Robledo" (702562560) 00:10:53.699 --> 00:11:10.739 We could do the same thing if we had all the Nancy Drew 1st collections, we just put Nancy drew complete 1st edition. We'll say NO we don't want to circulate this add a URL or any notes. We could say two valuable, and then click save. 43 "Sarah Robledo" (702562560) 00:11:10.739 --> 00:11:27.419 And then that's added here as well. Later when we're creating copy and loan policies, you can then reference these collections and assign any special rules or policies that they may need. All right. 44 "Sarah Robledo" (702562560) 00:11:27.419 --> 00:11:44.939 Now it's time to look at the last tab here, which is our policies tab. And there are three parts to this. We have deflections, copies, and loan policies. And we'll start with deflections. 45 "Sarah Robledo" (702562560) 00:11:44.939 --> 00:12:00.479 And before we get started I do want to share that we touch on these just a little bit in this class. My colleague Lucia, who's here with us, has a lending class where she goes into this in more detail. So we're just gonna kind of touch on this, but there's also videos you can watch as well. 46 "Sarah Robledo" (702562560) 00:12:00.479 --> 00:12:20.479 But I do recommend taking her course if you want to learn a little bit more about this. So, the flections let the system answer NO on behalf of your library based on your library's rules or policies. And we'll go ahead and demo this so really quickly, we can click add. 47 "Sarah Robledo" (702562560) 00:12:20.479 --> 00:12:22.109 To add a new policy. 48 "Sarah Robledo" (702562560) 00:12:22.109 --> 00:12:40.559 And then you'll give it a name, you just add a name, you could choose request type, so copy loan or copy or alone. 49 "Sarah Robledo" (702562560) 00:12:40.559 --> 00:13:00.559 You can choose deflection type, which is either enabled real time deflection or enabled real time deflection except for when you're the very last in a lender string or you can temporarily disable deflection. You can deflect on based on borrow or maximum cost. 50 "Sarah Robledo" (702562560) 00:13:00.559 --> 00:13:19.049 You can deflect based on borrowers, you can deflect on items, and then a really popular thing and a very common thing is deflecting based on material age. So a lot of people don't like to lend out their new items because they're popular and in demand at their location. So you can choose I don't wanna. 51 "Sarah Robledo" (702562560) 00:13:19.049 --> 00:13:35.429 Blend out anything newer than two years. Conversely, you can go ahead and deflect anything that's too old maybe too valuable. So we'll say like, I don't wanna blend out anything that is. 52 "Sarah Robledo" (702562560) 00:13:35.429 --> 00:13:55.429 More than a hundred years old cause it's too fragile until too valuable, so you could do that too. And then when you're done, you're gonna click save. And then it will look like this once you've created your deflection. 53 "Sarah Robledo" (702562560) 00:13:55.429 --> 00:14:00.719 I see that Sarah has a question. 54 "Sarah Robledo" (702562560) 00:14:00.719 --> 00:14:19.409 Can I set a deflection for any request out of state? Yes, you can. That would be when you're doing it and correct me if i'm wrong, Lucia, but wouldn't you do that by borrower? Yes, you would need to create a custom holdings group. That's what I thought. 55 "Sarah Robledo" (702562560) 00:14:23.909 --> 00:14:43.909 So under here, the deflections, you would add that here. Okay, and then the system will look into your deflection policy and request that match your deflections will op. 56 "Sarah Robledo" (702562560) 00:14:43.909 --> 00:14:48.119 Automatically be answered NO and will not arrive at your library. 57 "Sarah Robledo" (702562560) 00:14:48.119 --> 00:15:04.739 And then this part's a little confusing, so I like to repeat it like twice, but in the interface, items you are deflecting show with green checks, and items excluded from deflection show as red checks. So if you're deflecting, it's gonna be green checks. 58 "Sarah Robledo" (702562560) 00:15:04.739 --> 00:15:23.729 And items excluded from deflections will be red X's here. So that's deflections, and again my colleague goes into this in a little bit more detail in her lending class. The next thing that we're gonna look at is our copies policies. So we'll open that up. 59 "Sarah Robledo" (702562560) 00:15:23.729 --> 00:15:41.039 You can set your copies policies to communicate your rules to borrowers, but it does not block requests, but it informs the borrowing library if they want to add your library to their requests. So this is kind of like an information only. It's not gonna do any blocking like deflections does. 60 "Sarah Robledo" (702562560) 00:15:41.039 --> 00:15:59.489 And just like with deflections we click add, and we give the policy a name, and then you would add any fees, any of the borrower information, item information, delivery, billing methods. 61 "Sarah Robledo" (702562560) 00:15:59.489 --> 00:16:15.239 And any notes that your library might have, and then you would click save. And then when you're looking at this, green checks indicate stuff that you do supply and red Xs indicate things that you don't. 62 "Sarah Robledo" (702562560) 00:16:15.239 --> 00:16:31.859 In this case. And then the last thing we're gonna look at, so we're gonna open this loans accordion, and this is your library's loan policies. You can add a new one by going to add, give it a name. 63 "Sarah Robledo" (702562560) 00:16:31.859 --> 00:16:47.609 And then what's a little unique here in the loan policy is that since loans are physical items, you do wanna give a loan item maximum for the loan period, and that can be days, weeks or months. The same thing with the renewal maximum. 64 "Sarah Robledo" (702562560) 00:16:47.609 --> 00:17:05.429 That can be days, weeks or months. And when somebody has hit the maximum amount of renewals, the renewal option will completely disappear from the interface, which is very nice. And then. 65 "Sarah Robledo" (702562560) 00:17:05.429 --> 00:17:25.429 Same thing with the fees, borrower types, formats. Oh, and then the one thing I do want to show is remember we had that special collection here that we created the hardy boys and the drew books. This is where you could include those in your loan policy. So we click include here, and then those two are here. 66 "Sarah Robledo" (702562560) 00:17:25.429 --> 00:17:45.619 So you could check them and then give them special rules. And then when you're done, like before you click save, and just like with copies, green checks equals things that you will supply red X are things that you will not supply. And it just really helps other libraries understand your rules for supply. 67 "Sarah Robledo" (702562560) 00:17:45.619 --> 00:17:53.129 ILL. 68 "Sarah Robledo" (702562560) 00:17:53.129 --> 00:18:13.129 All right, so I know that we go through this quickly, got a lot to cover today, but this is the basics of the policies directory. I'm gonna go ahead and pull up my PowerPoint again. 1 s here. 69 "Sarah Robledo" (702562560) 00:18:13.129 --> 00:18:33.129 Okay, hopefully you guys are seeing my power. 70 "Sarah Robledo" (702562560) 00:18:33.129 --> 00:18:36.839 Point again. 71 "Sarah Robledo" (702562560) 00:18:36.839 --> 00:18:53.729 So the next thing we're gonna talk about is configuring options for world share ILL, and we do this in the service configuration. And just like with the policies directory, we access this from our world share. 72 "Sarah Robledo" (702562560) 00:18:53.729 --> 00:19:09.119 Interlibrary alone homepage under the other category, and you'll see service config under policies directory. So let me go back to our instance and I'll show this in real time. 73 "Sarah Robledo" (702562560) 00:19:19.019 --> 00:19:39.019 Okay, so you should be seeing my instance of internet library alone, and we're gonna go again down to quick links and service configuration and click here. And once again, just like with policies directory, because I have admin permissions of my staff account, I'm able to just. 74 "Sarah Robledo" (702562560) 00:19:39.019 --> 00:19:43.619 Get logged in here, but you do need those admin permissions to have this happen. 75 "Sarah Robledo" (702562560) 00:19:43.619 --> 00:19:59.039 And then up here in the top right, just quickly before we get started, this would be where your username is. If for any reason you had questions about the service configuration, you could contact OCLC support here. It would directly open a ticket with them so you could figure out. 76 "Sarah Robledo" (702562560) 00:19:59.039 --> 00:20:19.039 Whatever you need help with, the language will allow you to change the interface language and you can also sign out here. Alright, so we're gonna start on the left side panel over here, and we're gonna talk about constant data. 77 "Sarah Robledo" (702562560) 00:20:19.039 --> 00:20:36.479 One moment while I pull my PowerPoint back up. It's a lot of back and forth between PowerPoint and live. So one moment. 78 "Sarah Robledo" (702562560) 00:20:59.909 --> 00:21:19.909 Oh, actually, NO, we don't have to go back to the PowerPoint. Okay, sorry about that. So we're gonna 1st look at constant data, and constant data stores your library's standard information so that you don't have to type it for every request. It saves time and helps avoid mistakes. You can create as many constant data records as you want. 79 "Sarah Robledo" (702562560) 00:21:19.909 --> 00:21:27.269 But don't create so many that it becomes confusing. We do recommend at least one for loan and one for copy. 80 "Sarah Robledo" (702562560) 00:21:27.269 --> 00:21:47.269 So we can create a constant data record together. So under world share ILLO over here on the left, we're gonna go to borrower data 1st. And you'll see a default record that is already created for your library. We still do recommend that you create at least one for loan and copy because under request. 81 "Sarah Robledo" (702562560) 00:21:47.269 --> 00:21:56.429 This type you'll notice that it's not specified for either. So let's go ahead and create a new constant data record, which is over here. 82 "Sarah Robledo" (702562560) 00:21:56.429 --> 00:22:16.429 We'll click, and then the 1st thing you have to do is give your constant data record a name. So we're gonna do free. 83 "Sarah Robledo" (702562560) 00:22:16.429 --> 00:22:21.899 Oh NO Hio and then give it a description. 84 "Sarah Robledo" (702562560) 00:22:21.899 --> 00:22:38.429 We'll say libraries in Ohio at NO cost. And then here we can do a need before date which will be applied to every request. You do have to put a plus sign if you want to add one and then the amount of days. 85 "Sarah Robledo" (702562560) 00:22:38.429 --> 00:22:56.249 So, if I put plus 30, that means once I submit this, apply this constant data to a request, it will automatically put a need before date, 30 days after that request was submitted. And then. 86 "Sarah Robledo" (702562560) 00:22:56.249 --> 00:23:16.249 Request type, we're doing loan, and then this is the really important time consuming information that you need to add and it really does save your library a lot of time because when you're doing requests and filling this out every single time, it gets a little tedious and time consuming. So if you just put it here, we'll go ahead and say, our con. 87 "Sarah Robledo" (702562560) 00:23:16.249 --> 00:23:21.389 Contact information is Jane Doe. 88 "Sarah Robledo" (702562560) 00:23:21.389 --> 00:23:36.899 And then put your address, and then it should auto populate yes. And then make sure that you have your city, country, state, and postcode and make sure all this is correct is important. 89 "Sarah Robledo" (702562560) 00:23:36.899 --> 00:23:55.259 And then you can add a fax or phone number, but the email is also the most important part. And then if your shipping info or your billing info is the same as shipping, we can just go ahead and copy that here. And then you can say what type of carriers you like to use for shipping. 90 "Sarah Robledo" (702562560) 00:23:55.259 --> 00:24:15.259 We'll just put FedEx and UPS. We can completely ignore this electronic delivery because again this is for loans, those are physical items. You can check if you use IFM. This is a really important part. Please do not forget this when you're creating constant data. You do need to put something in this maximum cost. 91 "Sarah Robledo" (702562560) 00:24:15.259 --> 00:24:26.729 Fields, I'm gonna put 0.00 because I want free items. But if you leave nothing there, you're responsible for whatever the lender charges, so make sure that you do put. 92 "Sarah Robledo" (702562560) 00:24:26.729 --> 00:24:43.139 Alia 0.00 there. The currency I'm gonna see US dollars because I'm located in the US, but they also has Canadian dollars, euros, UK pounds, and South African rand. So i'll choose that. You can add any notes. 93 "Sarah Robledo" (702562560) 00:24:43.139 --> 00:25:02.639 If you wanted to, you could also put Patron information on here for this constant data, and then when you're done, you're gonna click save here at the bottom. And now you've created your 1st constant data record. And again, you can have as many as you want, but too many does get a little confusing. 94 "Sarah Robledo" (702562560) 00:25:02.639 --> 00:25:21.509 And you can edit and delete it at any time. Just make sure you save after you edit and the delete options down here at the bottom. The things in service config that you're gonna see kind of over and over again is the save option and delete options are very small at the bottom of the page, so they're kind of easy to miss. 95 "Sarah Robledo" (702562560) 00:25:21.509 --> 00:25:40.139 But here's where you would see the delete option ok so the next thing we're gonna look at, oh, and I did want to show you, we also can make lender constant data. 96 "Sarah Robledo" (702562560) 00:25:40.139 --> 00:25:58.919 That's here. The default is ok. You don't have to create another one but you can if you'd like, but the default in this case is, is good. So you don't have to. It's not a recommendation. All right. The next thing we're gonna look at are the inner library alone options, so under worldshare ILO. 97 "Sarah Robledo" (702562560) 00:25:58.919 --> 00:26:18.919 If you click on inner library alone options, you'll see several important settings. So the 1st thing is the persistent constant data. If you're using automation, we do recommend leaving this one unchecked cause if it's checked, the system will automatically reapply. 98 "Sarah Robledo" (702562560) 00:26:18.919 --> 00:26:26.939 The last constant data you use, which can cause errors, so it's better to just apply the right record manually or through automation. 99 "Sarah Robledo" (702562560) 00:26:26.939 --> 00:26:45.299 2nd part right here, the knowledge base integration, you want to turn this on if your library has added electronic collections to Worldcat knowledge base. With this enabled, when a Patron submits an ILL request or when you process a lending request, the system checks your library's coverage. 100 "Sarah Robledo" (702562560) 00:26:45.299 --> 00:27:01.259 If you hold the item electronically, a link appears in the ILL request details. And then you can also determine if the system can automatically respond NO if you don't have the item in your knowledge base. And then the next thing is. 101 "Sarah Robledo" (702562560) 00:27:01.259 --> 00:27:21.259 These article exchange email notifications, so if you toggle this on, all these email fields will open up, and this feature allows lenders to supply copies through article exchange. If you'd like to be notified when this happens, you can enter up to five email address. 102 "Sarah Robledo" (702562560) 00:27:21.259 --> 00:27:38.759 And you can also test and preview the emails before saving. And below that is the unfilled request notifications. If nobult library fills one of your borrowing requests, you can receive a notification. Again, you would just turn this on. 103 "Sarah Robledo" (702562560) 00:27:38.759 --> 00:27:58.589 And then fill out the emails with whoever you'd like to be notified. And then the next one is the new lending request notification, and as a lender, you can be notified when new requests arrive at your library and you can add up to five emails here as well. So just toggle it on and add them in. 104 "Sarah Robledo" (702562560) 00:27:58.589 --> 00:28:18.589 And then just like I said before, it's easy to miss, but you do need to click this little save button down here in the bottom right to save any changes that you have made. The next part of this we're gonna look at under World Share ILO is print settings, so we click on this option here. 105 "Sarah Robledo" (702562560) 00:28:18.589 --> 00:28:23.159 On the left, oop. 106 "Sarah Robledo" (702562560) 00:28:23.159 --> 00:28:43.159 The 1st thing you can do is change the default paper size for printing here. You can add your institution's logo. You would just put the URL here and you can test it before saving. You can also customize bookstraps or stickers to include due dates patront information or notes. 107 "Sarah Robledo" (702562560) 00:28:43.159 --> 00:28:59.849 And as a lender, you can also customize what prints on bookstraps or stickers. And then just like before, make sure you're not missing the save option down here in the bottom right. Alright, now I do need to pull up my PowerPoint .1 s here. 108 "Sarah Robledo" (702562560) 00:29:28.379 --> 00:29:44.849 So finally, the last thing we're gonna look at is online catalog linking, which allows staff to quickly check availability in your OPAC from within World Share ILL. So in the service configuration, you would click on Worldcat registry. 109 "Sarah Robledo" (702562560) 00:29:44.849 --> 00:30:03.419 And then online catalog, and then you would enable this feature, and then from the dropdown select your library system, enter your catalog URL, and click save. Once configured, your library's name will appear as a hyperlink. 110 "Sarah Robledo" (702562560) 00:30:03.419 --> 00:30:21.809 In ILLAW forms and holding displays, this lets other libraries click directly into your catalog to confirm item availability. Part four. 111 "Sarah Robledo" (702562560) 00:30:21.809 --> 00:30:37.049 We're gonna talk about custom holdings or pre selecting your preferred libraries. Now let's talk about custom holdings, which lets you pre select libraries you prefer to borrow from or lend to. It's an option for borrowers and lenders. 112 "Sarah Robledo" (702562560) 00:30:37.049 --> 00:30:52.439 Custom holding save time, reduced costs, and improve turnaround by giving the system a set of preferred libraries to choose from. Why use them? Here's a few common reasons. As a borrower, you can pre select libraries that don't charge fees. 113 "Sarah Robledo" (702562560) 00:30:52.439 --> 00:31:12.439 You can prioritize nearby libraries for faster delivery of physical items. For copies, you can prioritize libraries with shorter response times, are those known for supplying electronic items quickly? As a lender, you can create custom holdings to prioritize borrowers or exclude libraries or exclude libraries. 114 "Sarah Robledo" (702562560) 00:31:12.439 --> 00:31:20.069 You don't want or can't supply to. 115 "Sarah Robledo" (702562560) 00:31:20.069 --> 00:31:39.179 Here's how they work. A custom holdings group is a set of libraries that meet your criteria. A custom holdings path then tells the system the order in which to search those groups when building the lender string. Our learner guide has a link to a short video on how to create custom holdings as well as a link to documentation. 116 "Sarah Robledo" (702562560) 00:31:39.179 --> 00:31:55.349 E.g., you might create a group of zero cost libraries and a group of regional libraries close to you. Then build up a path that tells the system to check those groups 1st when filling requests. So we'll go live and show you how we would do this. 117 "Sarah Robledo" (702562560) 00:31:55.349 --> 00:32:10.679 For instance back up. Thank you, Alicia. She's so fast with the document. 118 "Sarah Robledo" (702562560) 00:32:18.749 --> 00:32:37.829 So you should be seeing my service config again. The 1st thing we're gonna look at is custom holdings groups. And we're gonna go ahead and click over here where it says create new custom holdings group. We're gonna go and give it a name. 119 "Sarah Robledo" (702562560) 00:32:37.829 --> 00:32:57.449 Oh yes, Susan, we'll talk about this. I'm gonna go over a very common error here in a little bit. If it's not the one you get, let me know in the chat and we can discuss that, but I think I know what's happening when you get an error message and you can't delete it. 120 "Sarah Robledo" (702562560) 00:33:01.739 --> 00:33:20.309 But again, let me know if I, if it's not the right one when we get there. Okay, so 1st things 1st, we're gonna give this custom holdings group a name. So I'm gonna name mine New Mexico. 121 "Sarah Robledo" (702562560) 00:33:20.309 --> 00:33:38.339 Free. And then I'm gonna say libraries in New Mexico at NO cost. 122 "Sarah Robledo" (702562560) 00:33:38.339 --> 00:33:54.689 And then here is an area that you can add the OCLC symbols that fit this criteria. If you know them, you could go ahead. Yes, thank you Lucia, and I will demonstrate this just in a little bit. 123 "Sarah Robledo" (702562560) 00:33:54.689 --> 00:34:10.229 The error that you'll get. If you know their OCLC symbols, you can go ahead and put them in here. If you don't, this is where the policies directory comes in handy. So we're gonna toggle back to the policies directory. I haven't closed it since we used it earlier. So I'm gonna toggle back over. 124 "Sarah Robledo" (702562560) 00:34:10.229 --> 00:34:29.669 And then, we're actually gonna use the search box over here on the left this time. And the 1st thing we're gonna do is we're gonna, so basically the search is all the libraries in the policies directory. We're gonna click that we want somebody who's an OCLC supplier. 125 "Sarah Robledo" (702562560) 00:34:29.669 --> 00:34:49.669 And then for the fee, we're gonna put 0.00, and then for the state, we're gonna want to make sure that we select New Mexico and then click search so that we'll get a list of. 126 "Sarah Robledo" (702562560) 00:34:49.669 --> 00:34:56.999 Items are institutions in the policies directory that supply items that lend. 127 "Sarah Robledo" (702562560) 00:34:56.999 --> 00:35:16.949 And that do so at zero costs and are in New mexico. And so this is my list, I have 37 results. You don't have to copy every single OCLC symbol here. You can just click where it says display symbols and it gives you an easy to copy list. So we would just go ahead and copy this out. 128 "Sarah Robledo" (702562560) 00:35:18.749 --> 00:35:37.889 I'll go back over to the service config and then where it says add or edit symbols, we'd click there and then copy them in here. And then we would update the symbols. And then at this point, if you had a library in this group that you didn't want anymore, you could click the little black X and remove them. 129 "Sarah Robledo" (702562560) 00:35:37.889 --> 00:35:56.999 And then you would go ahead and click save, and you've created a custom holdings group. If at any point you needed to, you could come back in and delete any library that you didn't want on here anymore. Or you could just delete the whole path. 130 "Sarah Robledo" (702562560) 00:36:08.189 --> 00:36:25.739 So now your customs holdings group is ready. You can create groups, edit them later or delete them if needed. So the next step is to build a path to tell the system how to use those groups. So under custom holdings group, we're gonna click custom holdings path. 131 "Sarah Robledo" (702562560) 00:36:25.739 --> 00:36:43.559 And then we're gonna select create new custom holdings path, and then give it a name. So I'm gonna say Southwest and then I'm gonna give it a description. 132 "Sarah Robledo" (702562560) 00:36:43.559 --> 00:37:01.679 Libraries in the Southwest, that loan for free. And then underneath this you'll see all of your custom holdings groups that your institution has created, and then you just simply go through and you select those. 133 "Sarah Robledo" (702562560) 00:37:01.679 --> 00:37:17.159 Institutions that you believe fit your criteria. So I'm gonna go ahead and do Arizona and one tip is you can hit control or press and hold control and it will let you select multiple at the same time. 134 "Sarah Robledo" (702562560) 00:37:17.159 --> 00:37:33.719 But then also we're gonna want those New Mexico Missouri, you know, make sure that you get them all in there and then we'll click add and then we'll all move over to the path. 135 "Sarah Robledo" (702562560) 00:37:33.719 --> 00:37:53.719 Then once all of them are over there, if for any reason you've selected one that you don't want, you can remove it by highlighting it, so this Ohio free doesn't really fit with my theme here. I'm gonna go ahead and remove it. You can also order them with importance, so I'll move all my new Mexico libraries to the top. 136 "Sarah Robledo" (702562560) 00:37:56.609 --> 00:38:16.609 And then, down from there, now the system knows to search your preferred groups and the order you've defined. You can edit or reorder the groups at any time, but this is the important part and I think Susan I believe this is where you're maybe encountering this error. If you need to delete a group. 137 "Sarah Robledo" (702562560) 00:38:16.609 --> 00:38:24.660 You 1st remove it from any path it belongs to. So if you try to delete it without doing it, you'll get an error message and I'm gonna go ahead and show you what that looks like. 138 "Sarah Robledo" (702562560) 00:38:24.660 --> 00:38:44.660 1 s, let me pull that up. 139 "Sarah Robledo" (702562560) 00:38:44.660 --> 00:39:04.660 So if you attempt to delete a custom holdings group that is used in a custom holdings path, it will produce the file following error. And it says we apologize, there seems to be a problem with the module you are accessing. Please come back later or try a different module. 140 "Sarah Robledo" (702562560) 00:39:04.660 --> 00:39:09.120 So you have to remove the group from a path or the path or delete them. 141 "Sarah Robledo" (702562560) 00:39:09.120 --> 00:39:25.920 For a reference, then you can delete the group and I see that Lucia added some stuff in the chat as well. Thank you Lucia. 142 "Sarah Robledo" (702562560) 00:39:32.100 --> 00:39:49.050 In addition to groups you build, OCLC maintains profile groups on behalf of libraries, and we've just pulled out some common and popular ones. Examples include the express program. This is for fast turnaround of digital items, so with usually within 18 h. 143 "Sarah Robledo" (702562560) 00:39:49.050 --> 00:40:06.180 Oh, you're welcome Susan. Yeah, the error doesn't really explain very well what's actually happening there, so it's kind of a sterious ebook is for libraries with rights to land entire ebooks. 144 "Sarah Robledo" (702562560) 00:40:06.180 --> 00:40:26.180 Bilm is for libraries supplying audio visual materials free of charge, longest for libraries offering loan periods of twelve plus weeks, and then Elvis is for libraries very interested in sharing who supply at NO cost. And if you want to join any of these profile groups, you do need to email OCLC resource sharing at OCLC. 145 "Sarah Robledo" (702562560) 00:40:26.180 --> 00:40:27.270 Dot org. 146 "Sarah Robledo" (702562560) 00:40:27.270 --> 00:40:46.260 And they are also located in the same spot, so I'm gonna go ahead and pause and go back to my service config. So on this screen, we were just looking at our custom holdings groups underneath it are the profile groups that have been added for me. 147 "Sarah Robledo" (702562560) 00:40:46.260 --> 00:41:01.590 So if we wanted to add Elvis, we could. So we would scroll down till we see Elvis, and then highlight it and select add and we've moved it over to our path. 148 "Sarah Robledo" (702562560) 00:41:01.590 --> 00:41:18.870 And we can, you know, order it up to top, topper top priority if we wanted. You can delete libraries from profiled groups, but you have to do it from the custom holdings groups area. So if we go back to the custom holdings group. 149 "Sarah Robledo" (702562560) 00:41:18.870 --> 00:41:37.500 You would choose it from the dropdown, so we'd scroll down till we see Elvis, and then at this point you could remove libraries or institutions from that profile group. 150 "Sarah Robledo" (702562560) 00:41:37.500 --> 00:41:57.500 You would just click this little X and then click save. The only exception to this process is the Express program libraries. With this one you'll receive a list of participants twice a year and for this a library must create the custom holdings group 1st with those symbols from the. 151 "Sarah Robledo" (702562560) 00:41:57.500 --> 00:42:16.620 List and then create the custom holdings path. You also have to name both the group and the path as express programs. So let's demonstrate this for fast copies. So we'll go back to custom holdings group, create a new custom holdings group. 152 "Sarah Robledo" (702562560) 00:42:19.080 --> 00:42:39.080 We're gonna call this one copies fast, give a description, get copies fast. And then once again, this is where we're gonna add the OCLC symbols. If you already knew the OCLC symbols, you could just add them here. 153 "Sarah Robledo" (702562560) 00:42:39.080 --> 00:42:54.990 If not, this is where the policies directory comes in handy, so we're gonna toggle back over to the policies directory. I'm gonna exit out of here and then hit this reset button so we can clear our last search and. 154 "Sarah Robledo" (702562560) 00:42:54.990 --> 00:43:14.280 In this case, just like before, we're gonna want to make sure that they lend, so we'll toggle the little box next to OCLC supplier. For days to respond, we want our copies fast, so we're gonna choose four days. And then we're gonna open this up to international lenders, and the reason behind, the reasoning behind this is. 155 "Sarah Robledo" (702562560) 00:43:14.280 --> 00:43:29.430 If we've got a student who at 02:00 in the morning decides that they want a certain article, opening up to other countries allows them to maybe get that article from like a. 156 "Sarah Robledo" (702562560) 00:43:29.430 --> 00:43:46.770 Library in the United Kingdom while your library is currently closed. So it does just kind of help maybe get that copied to them faster. But you do want to make sure that you select the United States as one or your country if you're not in the United States. 157 "Sarah Robledo" (702562560) 00:43:46.770 --> 00:44:06.720 As one of the options, and then you can just click some more, set out of there, and then click search, and this will return items that. 158 "Sarah Robledo" (702562560) 00:44:06.720 --> 00:44:26.720 Are that loan, oh and also you could also add the fee if you wanted if you wanted free. So we'll add that too. So, this is the libraries that were supply copies quickly that opens up to the international library so your customers can get them as fast as possible and. 159 "Sarah Robledo" (702562560) 00:44:26.720 --> 00:44:35.760 Your OCLC suppliers. But if you notice, you get a ton of results over 1000, you probably don't want to copy and put all of those. 160 "Sarah Robledo" (702562560) 00:44:35.760 --> 00:44:51.300 In your path so you can do all, you can just highlight these or group, sorry, just highlight a couple of them, toggle back over, add and edit symbols, and then paste it here and update symbols. 161 "Sarah Robledo" (702562560) 00:44:51.300 --> 00:45:10.080 And then just like before, if you needed to remove any, you could, and then you would just click save. And this is your group of libraries that you could get your copies fast. All right. 162 "Sarah Robledo" (702562560) 00:45:10.080 --> 00:45:30.080 Let me go back to my PowerPoint now. 163 "Sarah Robledo" (702562560) 00:45:30.080 --> 00:45:34.410 Okay, so the next thing we're gonna talk about. 164 "Sarah Robledo" (702562560) 00:45:34.410 --> 00:45:52.770 Is automation and automation saves you time by letting the system apply your rules instead of handling every request manually. You can create automations both as a borrowing library and as a lending library. 165 "Sarah Robledo" (702562560) 00:45:55.470 --> 00:46:15.330 Well, let's go live so you can see this so here I am back in my service configuration. This time under world share illo, we're gonna select automated request manager. 166 "Sarah Robledo" (702562560) 00:46:20.250 --> 00:46:37.200 And you'll notice it lands on borrowing, and as a borrowing library, automation can match the best billiographic record. Check your worldcap holdings to see if you already own the item. Reference your knowledge base if you've turned that on in internlibrary alone options. 167 "Sarah Robledo" (702562560) 00:46:37.200 --> 00:46:55.320 It can use your custom holdings group and paths to build lender strings. And then we'll go ahead and show you how to create one. So we're gonna go ahead and click add new. And then you're gonna give it a name. 168 "Sarah Robledo" (702562560) 00:46:55.320 --> 00:47:13.620 We're gonna give it the name alone, and then you have to assign a priority and lower numbers equal higher priority, so the system applies the lowest number 1st. In this instance, in this case I'm just gonna give its priority of ten. And then you have to define your matches. 169 "Sarah Robledo" (702562560) 00:47:13.620 --> 00:47:33.620 So you can match on format, material age, language, patron type, department, request type, and request source. We're gonna do format since this is for loans. So here we'll click on format. And then just like before, you can select multiple things, but you do need to press and hold control to allow that. 170 "Sarah Robledo" (702562560) 00:47:33.620 --> 00:47:35.670 That's to happen, so we're gonna click. 171 "Sarah Robledo" (702562560) 00:47:35.670 --> 00:47:54.810 And things that we know are physical items, and then you could add more matches if you needed to. And then the next thing is you're gonna define your actions. 172 "Sarah Robledo" (702562560) 00:47:54.810 --> 00:48:14.130 So you can apply constant data here, and then you can choose from the dropdown of your constant data. You can build the lender string using your custom holdings right here. 173 "Sarah Robledo" (702562560) 00:48:14.130 --> 00:48:30.000 You can also choose whether to brought the request to review or send the request directly to lenders. You can also define exceptions if needed. 174 "Sarah Robledo" (702562560) 00:48:30.000 --> 00:48:50.000 E.g., sent to review if this is held by my institution or center review if held by my custom holdings group. And then you can click save when you're done. 175 "Sarah Robledo" (702562560) 00:48:54.660 --> 00:49:11.370 You can create multiple borrowing automations, the system will apply them in priority order. Now when you create a request, say a print book, you can select send to automation, and the system will apply your rules, build the lender string. 176 "Sarah Robledo" (702562560) 00:49:11.370 --> 00:49:28.260 And then apply the constant data and then either place the request in your new for review queue or send it directly to your lenders. Once submitted the request history, you can go to the request history tab to see which automations were applied. So I can show you this in action. 177 "Sarah Robledo" (702562560) 00:49:28.260 --> 00:49:46.440 I'm gonna go ahead and toggle back over to my intern library alone homepage, and we're just gonna do a search for an item. So let's do happy place for the author. Emily Henry, and we're gonna want a print book for this. 178 "Sarah Robledo" (702562560) 00:49:46.440 --> 00:50:05.580 And then click search, and then you'll want to make sure that you're selecting the correct item for your customer and once they've verified that yes, that's the correct one, you're simply just gonna go to create request and then send the request to automation. It's that simple. 179 "Sarah Robledo" (702562560) 00:50:05.580 --> 00:50:23.820 Once you do that, it's either gonna end up in faster than my notes. The system will. 180 "Sarah Robledo" (702562560) 00:50:23.820 --> 00:50:43.820 Yeah. The system will follow your rules for automation. If you have set your request to be reviewed, you will see those in the new for review area. So if you set them to be reviewed, they will be here in the new for reviewed. If you have set up your automations to go directly to lenders, it will. 181 "Sarah Robledo" (702562560) 00:50:43.820 --> 00:50:48.450 Automatically go to the lender and you will see it under produce. So it's here. 182 "Sarah Robledo" (702562560) 00:50:48.450 --> 00:51:04.620 That you'll see them. And then if you ever want to see what automations were used, you can go to in transit right here and click on any of the items. And like I said earlier, you could just toggle over to request history. 183 "Sarah Robledo" (702562560) 00:51:04.620 --> 00:51:23.730 And any automations that were used would be shown here. Obviously we don't have any actual automation set up because this is a test instance and we're not a real working library, so you're not gonna see any there. All right, then back to our service configuration. 184 "Sarah Robledo" (702562560) 00:51:23.730 --> 00:51:43.730 And this time we're gonna log, we're gonna toggle over to lending. It seems I got some sort of error in my page. Hold on. Yep with me. As a lending library, automations can deflect. 185 "Sarah Robledo" (702562560) 00:51:43.730 --> 00:51:45.450 Check your deflections. 186 "Sarah Robledo" (702562560) 00:51:45.450 --> 00:52:05.450 Check your supplier status. Look at your knowledge base holdings if you've turned that on inner library alone options. It also respects your group affiliations days to respond and turn around time. Even checks real time availability in your catalog if configured. If the item is checked out, the system will skip your library in the lender. 187 "Sarah Robledo" (702562560) 00:52:05.450 --> 00:52:13.410 So just like before borrowing to create a new automation, we will just go to add new. 188 "Sarah Robledo" (702562560) 00:52:13.410 --> 00:52:28.470 Give it a name and priority number, then define the matches such as borrower group, format and request type. You can define your actions. 189 "Sarah Robledo" (702562560) 00:52:28.470 --> 00:52:45.960 Such as applying constant data, and then when you're done, you would just click save, and with this setup, the system will only send your library request that you are ready to fulfill. That saves you time and prevents unfillable requests. But why does automation matter? 190 "Sarah Robledo" (702562560) 00:52:45.960 --> 00:53:02.910 As a borrowing library, the system looks into the library in the lender string that can reply fast. So we'll look to see if the library has configured automations, and if they haven't, they will automatically skip that lender and move up the lender string as fast as possible to get to the lender who can supply that item. 191 "Sarah Robledo" (702562560) 00:53:02.910 --> 00:53:18.630 For lenders, it filters requests so you can, you only get what you can supply. All right. I know that's a lot I've shared a lot with you in about 15 min. 192 "Sarah Robledo" (702562560) 00:53:18.630 --> 00:53:38.630 But I'm gonna go ahead and bring my PowerPoint back up here 1 s and now I'm gonna ask you guys some questions. I'm gonna see. 193 "Sarah Robledo" (702562560) 00:53:38.630 --> 00:53:57.480 I have Slido, it's let me see if I can get it up. I was having problems with it in my last class, so let me open it and see if it works. Okay, so our 1st question hopefully you're seeing it in your Webex. 194 "Sarah Robledo" (702562560) 00:53:57.480 --> 00:54:12.570 Is if I want to reuse my library's information and access my online catalog in ILL, I need to configure what? Constant data and IFM are number two constant data. 195 "Sarah Robledo" (702562560) 00:54:12.570 --> 00:54:29.310 In the Worldcat registry. Number three worldcat registry and policies directory and number four policies directory and worldcat registry. So you can go ahead and vote if you see the Slido. 196 "Sarah Robledo" (702562560) 00:54:32.730 --> 00:54:50.910 I'll give you guys a couple minutes to answer Okay, looks like we got a lot of people responding, so I'm gonna go ahead and show the correct answer now. 197 "Sarah Robledo" (702562560) 00:54:50.910 --> 00:55:10.910 The correct answer is constant data and Worldcat registry. So constant data will let you reuse your library's information and then the Worldcat registry will let you access your catalog online in world shore iolo. The next. 198 "Sarah Robledo" (702562560) 00:55:10.910 --> 00:55:17.820 Question. Let me see if I can watch that. 199 "Sarah Robledo" (702562560) 00:55:17.820 --> 00:55:37.820 Is select the correct statement below. Custom holdings can't be edited or deleted after creation.
