E.g., 4XX fields are C references which point to the authorized form from alternate versions. Authority control or the action of controlling headings refers to the process of maintaining consistency in the form of headings used in biographic records. This ensures uniformity across records and improves resource discovery. Additionally, the controlled heading link in a buildographic record allows you to open the authority record in a separate separate window for review. This slide shows the authority tags in the middle column and the biblographic tags that they control. And here you can see some other examples as well. When you control this heading, the system matches it to a 400 field in the authority record. You'll see that the heading now matches the authorized version and its linked. So I'm going to leave my data type as biblographic records. My scope is going to change to saved in progress, and then I'm going to leave the index as saved file number. I'm gonna go ahead and just click on the link to open that record. So I want to go ahead and control all headings at one time. And we see a notice at the top letting us know that some of the controllable headings were controlled and some were not. And if we click on one of these links, so I'm gonna go ahead and click on computer security, then the authority record will open up for us in a pop up. So to do that, we have two options. So I'm gonna go ahead and click on that and we get a window that lets us know that we need to confirm this unqualified personal name. So we're gonna go ahead and close that. And looking back down here at a couple of our fields, we see that there is a subfield one on a couple of these 6XX fields. These are automatically added when you control headings. So to elaborate, the primary purpose of adding worldcat entities identifiers is to establish a bridge between marked data and linked data. 45 "Crystal Rodriguez" (1531691264) 00:12:49.259 --> 00:13:05.969 In 2023, OCLC started adding worldcat entities identifiers to sub field one links in the fields shown here. And the URIs are now automatically added to Worldcat Records for newly controlled headings. Okay, so I'm going to open up a different saved record and here. 51 "Crystal Rodriguez" (1531691264) 00:14:21.769 --> 00:14:41.609 Again, we see that we do not have controlled headings, and I want to review our 0650 fields here. We see the 1st is music with a subfield X of mathematics, and then we see 2nd is listed as musical theory. And we also can note that our 700 fields are. 52 "Crystal Rodriguez" (1531691264) 00:14:41.609 --> 00:15:01.609 Not controlled and they do not currently have URIs. So I'm going to go ahead and again, control all headings. I'm gonna go to record menu and then control all headings. And we see a few things happening here. So let's click on music theory to open up the authority record to review that a little further. Okay, I'm gonna go ahead and close that. But our other 700 field still remains uncontrolled, so we need to control that individually. So this time I'm going to use the right click in the field. 58 "Crystal Rodriguez" (1531691264) 00:16:28.769 --> 00:16:48.769 I'm going to choose controlled heading and click on add, and again I get a notice letting me know that this is an unqualified personal name, and I'm going to click on the link to open up that record, and again we would use our catalog or judgment and review the information. 59 "Crystal Rodriguez" (1531691264) 00:16:48.769 --> 00:16:55.349 In here we see that this individual is related to music and data processing. So we're gonna go ahead and close and click insert heading. E.g., I want to add a subfield X to mathematics under the music theory heading. And again, we have the option of either right clicking, choosing controlled heading, and clicking on remove. Or in this case we would be able to click on edit, choose controlled heading, and then click remove as well. So I'm gonna right click choose control heading and then choose add. Let's take a look at the authority record for music theory again to determine how we can find that out. So to do that, we wanna look at this expanded guided menu option, which is the little triangle. So if I click on that triangle. 68 "Crystal Rodriguez" (1531691264) 00:19:24.359 --> 00:19:39.719 I now open all of the 008 information and 2nd item that I see states direct, indirect geographic subdivision. And I want to click on that question mark to open up the help documents again. 69 "Crystal Rodriguez" (1531691264) 00:19:39.719 --> 00:19:58.769 And I can see that the 6th position is the geographic subdivision and I see which options allow me to subdivide geographically, direct or indirect or if it can't be subdivided at all. All right. While I'm switching over, I'm just gonna pause to see if there's any questions that have come in. Now before we move on, I want to highlight two optional user preferences that are related to controlling all headings in bibliographic records. 73 "Crystal Rodriguez" (1531691264) 00:20:50.599 --> 00:21:08.519 The 1st option is to add equivalent subject headings when controlling all headings. When this is enabled, the system identifies uncontrolled headings in the record, attempts to control them using the appropriate authority files. 74 "Crystal Rodriguez" (1531691264) 00:21:08.519 --> 00:21:27.809 It adds equivalent subject headings where available, and then controls those equivalents to their respective authority records. When this is disabled, you can still manually select to add equivalent subject headings. They just won't be added automatically for you. 75 "Crystal Rodriguez" (1531691264) 00:21:27.809 --> 00:21:47.759 2nd option is to enable or disable auto suggest for library of Congress and or Canadiana names. Again, based on the language code in the 040 subfield B field. If it equals FRE for French, then Canadiana name authorities are suggested. If you do not select the suggesting, then the heading will remain as you entered it and you would have to control that on your own. Anytime you see a question mark within record manager, you're gonna see some help information. Yeah, let's see what it does in record manager. All right. Currently these are not controlled, but we don't have any equivalent headings. So I'm going to go ahead and control all headings using the record menu, control all headings. 85 "Crystal Rodriguez" (1531691264) 00:24:36.959 --> 00:24:56.959 And we get a notice, again, letting us know that our some were headings are controlled and some are not, but we also see the notice letting us know that equivalent subject headings were added to this record. It just wouldn't happen automatically for you. Now you may notice that many equivalent subject headings have already been added to Worldcat records. Alright, now let's take a look at the other setting that I mentioned. We're gonna scroll down again to the controlled headings section. While this is enabled, auto suggests will list potential matches for appropriate name fields. The auto suggests for Canadiana names is disabled by default. I'm going to leave it that way. And let's go ahead and see this at work. So I'm going to open up a different record for us. Before I do that, I do want to point out the O4O field in the sub field B we see E N G here. I'm going to go ahead and click on that and you see that pretty quickly the heading was controlled and that URI was added. So safe bet, that's the right person. We're gonna go ahead and close that.
